Which documents you need for a bond assessment

A complete overview of the documents a bondholder needs for an assessment of their claim, and what each of them is used for.

Assessing a bond claim stands or falls on documentation. The overview below splits the inputs into mandatory, recommended and supplementary, and explains why each is needed.

Mandatory documents

Without them the existence and amount of the claim cannot be verified.

  • terms and conditions of the issue
  • subscription or purchase contract
  • proof of payment of the subscription price
  • holder identification

Recommended documents

These materially sharpen and speed up the assessment.

  • confirmation of ownership or a registry extract
  • a schedule of coupons paid and unpaid
  • correspondence with the issuer, including promises and deferrals
  • amendments and annexes to the contract

Supplementary documents

Evidence of transfer if you acquired the bond from another person, documents on security or guarantees, and any decisions or resolutions you received in connection with the issue.

These are not always available and their absence alone does not prevent an assessment.

Protecting your data

The documents contain personal data. Share them only with a counterparty you have verified, and prefer secure transfer.

Always keep your own copies of everything you send.

Practical next step

A prepared document folder is the only precondition for a substantive case review — everything else follows from it.
